Key Workflows

Creating a Meeting Note

  1. Click "Create Meeting Note" button in the header
  2. Fill in basic information: Title (required), Date & Time (required), Duration, and Location
  3. Select a template (optional): Choose from Standard, Client Meeting, Team Standup, Project Review, One-on-One, or Brainstorm
  4. Add attendees by clicking "Add Attendee" and selecting team members
  5. Create agenda items with titles to structure your meeting
  6. Write detailed notes using the rich text editor
  7. Add action items with descriptions, assignees (optional), due dates, and priorities
  8. Document key decisions and next steps
  9. Add tags for easy categorization
  10. Attach files if needed (presentations, documents)
  11. Set status (Draft, Published, or Archived) and pin if important
  12. Click "Save Meeting Note" to create

Managing Action Items

  1. View all action items in the meeting note detail view
  2. Click "Mark Done" button on any pending action item to mark it as completed
  3. Click the "Action Pending" stats card to view all meetings with pending action items
  4. In the Pending Action Items popup, see all meetings with incomplete action items
  5. Mark action items as done directly from the popup without opening the full meeting note
  6. View full meeting details by clicking "View" button in the popup
  7. Action items automatically update and refresh after marking as done
  8. Link action items to tasks in the To-Do Board for integrated task management

Tracking Attendance

  1. When editing a meeting note, view all attendees in the Attendees section
  2. Each attendee shows their name and current attendance status
  3. Use the dropdown menu next to each attendee to change their status
  4. Select from: Invited, Attended, Absent, or Declined
  5. The dropdown provides clear visual feedback with emoji icons
  6. Status updates are saved when you save the meeting note
  7. Attendance status is displayed in the meeting note view for quick reference

Using Templates

  1. Templates are available when creating new meeting notes (not when editing)
  2. Choose from Standard, Client Meeting, Team Standup, Project Review, One-on-One, or Brainstorm
  3. Each template pre-populates agenda items and structure relevant to that meeting type
  4. After selecting a template, you can modify agenda items, add or remove sections as needed
  5. Templates save time and ensure consistency across similar meeting types
  6. Customize the template content to match your specific meeting needs

Searching and Filtering

  1. Use the search bar to find meetings by title, meeting ID, notes content, or tags
  2. Filter by status: Draft, Published, or Archived
  3. Use date range filters (Date From and Date To) to view meetings within a specific period
  4. Filter by organizer to see meetings organized by a specific person
  5. Filter by attendee to find meetings where a specific person was an attendee
  6. Filter by tags for quick categorization
  7. Click "Clear Filters" to reset all filters and show all meetings
  8. Pinned meetings always appear at the top of the list

Sharing and Collaboration

  1. Share meeting notes with specific team members in your organization
  2. Shared users can view the meeting note and see all details, including action items and attachments
  3. Only users with "Share Meeting Notes" permission can share notes with others
  4. View all related items in the meeting note detail view for quick access
